A buyer in Surabaya asked me to quote a HZS50 concrete batching plant. The factory price was $28,000. When the plant was standing on his site, the total he had paid was $34,800. Nothing had gone wrong, no one had cheated him - the $6,800 was simply the part of the cost that never appears on a factory invoice: inland haulage, export documents, sea freight, insurance, import duty, VAT, port charges, clearance, and the crane that lifted the plant off the truck.

Almost every buyer I work with makes the same mistake at the same moment: they compare machine prices between suppliers and forget that they are actually buying a delivered machine. Two suppliers quoting $28,000 and $30,500 for the same capacity can end up with the cheaper one costing more, because one sits closer to the port, ships in a smaller container, or includes the crate.

This is the five-block breakdown I use, and the questions to send a supplier so that you get a real landed number instead of a factory number.

Construction machines lined up at a Chinese factory yard ready for export crating and container loading

1. The Five Cost Blocks From Factory to Your Site

One: the machine itself, quoted EXW (at the factory) or FOB (loaded on the ship at the Chinese port) - the difference between those two incoterms is real money. Two: inland haulage and export handling - trucking from the factory to the port, export customs declaration, and sometimes a wood crate. Three: sea freight plus marine insurance. Four: Indonesian import charges - import duty by HS code, VAT (PPN), income-tax prepayment on imports (PPh 22), and clearance fees. Five: port and site charges - terminal handling, surveyor, trucking from the port to your site, and lifting equipment. Any supplier who quotes only block one and calls it the price is giving you a third of a number.

2. Container or Break-Bulk: Your Machine's Dimensions Decide the Freight

Small machines and most spare parts go inside a 20GP or 40HQ container. A machine that fits a 40HQ with the crate may cost less to ship than a slightly smaller machine that only fits in a 20GP, because freight is charged per container, not per tonne. Machines that are too wide or too tall for a container ship as flat-rack or break-bulk on deck, which can double or triple the freight - so before you choose a model, ask the supplier for packed dimensions and weight. A 20-centimetre difference in crated width can decide whether you pay one container or two.

3. What Actually Moves the Sea Freight Number

The four things that change your freight quote are the route (Shanghai, Ningbo or Qingdao to Tanjung Priok/Jakarta, Tanjung Perak/Surabaya, or Belawan/Medan), the season (freight rises before major holidays and when space is tight), fuel and carrier surcharges, and container availability at the time of booking. Freight on the same route can move substantially within a month, which is why a freight number older than a few weeks is only a guide. Ask for the quote with an expiry date and the carrier name.

4. The Indonesian Charges Buyers Forget

Import duty depends on the HS code of the machine and is not the same for every type of equipment. On top of duty come VAT (PPN), the income-tax prepayment collected at import (PPh 22), and clearance and terminal charges. Then come the two that surprise people: demurrage, charged when a container waits at the port because documents or payment are not ready, and the cost of lifting a heavy machine off the truck at your site. A machine is not delivered when the ship arrives - it is delivered when it is standing where you will use it. Build those last metres into the budget.

5. The Traps That Turn a Cheap Quote Into an Expensive Machine

One: a forwarder quoting the lowest freight but hiding destination charges until the container has arrived and cannot be released - always ask for a full door-to-door quote in writing. Two: under-declaring the value to save duty, which risks a fine, a hold, or the machine being valued by customs anyway. Three: forgetting the crate, so the machine arrives with a bent frame and a claim nobody will pay. Four: not checking whether the machine needs to be partly disassembled to fit its container. Five: no surveyor at loading, so damage that happened at the factory is discovered at your site, weeks later, with no evidence. Each of these costs more than the saving that tempted the buyer.

6. How to Get a Real Landed Number Before You Pay

Ask every supplier for the same five lines: FOB price at which Chinese port; packed dimensions, weight and container type; freight to your destination port with an expiry date; the HS code of the machine; and a written note on which charges are included and which are not. Then add your local clearance, duty, VAT and site delivery. Compare suppliers on that total, not on the factory number. If a supplier cannot give you the packed dimensions and the HS code, that supplier has not exported this machine before.

The Real Price Rule: Compare FOB Plus Freight Plus Duty Plus Port Charges, Never the Factory Price

A $2,000 difference in factory price disappears the moment one machine needs two containers instead of one, or arrives without a crate. Compare suppliers on the landed total: FOB price, freight with an expiry date, insurance, duty and VAT, clearance, port handling, site delivery and lifting. Only then is the cheaper machine actually cheaper. And keep one more number next to it: the cost of the machine being late. A machine that saves $1,500 but arrives three weeks late and misses the start of your project has not saved anything.

Frequently asked questions

How much does it cost to ship a machine from China to Indonesia?

It depends on four things: the machine's packed size and weight, the container type it needs, the route to your port (Jakarta, Surabaya or Medan), and the season. Sea freight plus insurance on a full container to Indonesia is usually a four-figure amount in US dollars for ordinary construction and mining machines, and can be much higher for oversized cargo on flat-rack or break-bulk. Freight rates change weekly, so we quote the actual number with an expiry date instead of a rule of thumb.

What is included in the price a supplier quotes me?

It depends on the incoterm, and you must ask. EXW means the machine is yours at the factory gate. FOB means it is loaded on the ship at the Chinese port, but the inland haulage, export documents, freight, insurance, Indonesian duty, VAT, clearance and site delivery are not included. A door-to-door quote includes more, but check whether duty and destination charges are really inside it. Ask for the five lines in writing before you compare two suppliers.

Can I ship a whole machine inside a container?

Many construction, mining, batching and feed machines can be partly disassembled to fit a 20GP or 40HQ container, which is normally the cheapest way to ship. The supplier must give you the packed dimensions and weight first, and someone must confirm the machine is properly braced and lashed inside. Machines that are too wide or too tall ship as flat-rack or break-bulk, where the freight can be several times higher.

Who pays the import duty and VAT in Indonesia?

By default the importer of record pays duty, VAT and the import income-tax prepayment when the machine clears customs. Who that importer is depends on your agreement and on your company's import licence. We can advise on the structure and give you a duty estimate from the HS code, but the customs classification and the final assessment are made by Indonesian customs - we never tell a buyer to under-declare value to reduce duty.

How long does shipping from China to Indonesia take?

Plan on roughly one to three weeks of sea transit for the common routes to Jakarta, Surabaya or Medan, plus a few days for inland haulage and loading in China and a few days for clearance at destination. The whole door-to-door window is usually about four to six weeks for a container, longer for oversized cargo and longer again during peak season or Indonesian holidays. We give you the actual vessel name and booking number so you can track it.

Will you help with customs clearance in Indonesia?

We handle everything up to the Chinese port and give you the complete document set - invoice, packing list, bill of lading, certificate of origin and any machine certificates - so your Indonesian forwarder can clear the shipment. We work with your forwarder and we will tell you honestly which charges belong to whom, so that you are not paying twice for the same service at both ends.

Send Us the Machine and Your Destination Port

Tell us the machine you are considering and your destination port, and we will come back with the five lines: FOB price at the Chinese port, the packed dimensions and container type, the freight with its destination port, the HS code, and what is and is not included. If the numbers do not work for your site, we will say so before you send a deposit.
